What the pages describe

The service pages explain how we approach knowledge bases, document classification and readiness assessments, and what each engagement usually includes. The examples, such as a query and the sources it returns, are illustrations written for this site. They do not come from any client's records and should not be read as a promise of the results a particular set of documents will produce.

Why results depend on the documents

A knowledge base can only return what is written down somewhere in a readable form. Where records are handwritten, stored as images without text, or contradict one another, the answers the system gives will reflect that. Every page on this site that describes an outcome assumes documents that have been through, or pass, a readiness assessment. We say this plainly because it is the most common source of disappointment in projects of this kind.

Prices shown

The prices on the offer pages are starting points for an engagement of the typical size described on each page. The final price depends on the number of documents, their formats and the systems the result must connect to, and is set out in a written scope before work begins. No charge arises from using this site or sending an enquiry.

Sending documents

Please do not attach company documents to the first message sent through the contact form. The form is not designed for confidential material. If a sample is needed, we will agree a secure way of receiving it and confirm in writing what will be done with it.

Links, law and changes

Links to other websites are provided for convenience and we are not responsible for their content. We may revise these terms when the site changes; the version published on the day of use applies. These terms are governed by Japanese law, and the Fukuoka District Court has exclusive jurisdiction at first instance over any dispute about use of the site.

Working language

This site is written in English for companies that work in English or across English and Japanese. Many of the documents we organise are in Japanese, and knowledge bases we build can answer in either language, but the explanations on these pages are simplified and do not describe how any particular mix of languages will behave in practice. That is one of the questions a readiness assessment answers for your own documents.

Security of this website

This website does not store the messages sent through its contact form in a way that is visible to other visitors, and it does not ask for passwords, account numbers or document uploads. If you receive an email that appears to come from us and asks for any of these, please do not reply to it and let us know by telephone.

Reporting a problem with the site

If a page does not display correctly, a link leads nowhere, or something written here is no longer accurate, please tell us through the contact form. We check reports on working days and correct errors in the text as soon as they are confirmed.

Images on this site

Pictures on these pages, including engravings of early card-index cabinets and photographs of filing systems, are illustrations taken from public-domain collections. They do not show any client's records, offices or staff, and none of them depict a system we have built.
