The problem
In a lot of companies, the person who actually knows how something is done isn't the person who wrote the manual — or the manual was written years ago and never quite kept up. New staff end up asking around, and the people they ask are often the two or three who've been there the longest. That's a fragile way to hold onto operational knowledge, and it isn't really anyone's fault; it's just what happens when documentation and daily practice grow apart.
The solution
We take your existing documents as they are — manuals, internal memos, procedure notes, correspondence — and structure them into a system that can be queried directly. No document is rewritten or reinterpreted; the system points to the original text so it can always be verified.
The experience
We begin by reviewing a sample of what you already have, then agree together on which document sets to include first. From there, we handle preparation and structure while checking in as questions come up, and finish by training whoever will keep the system current.

The investment

This covers document preparation, access rules set by staff group, a working search interface, and training for the person who will maintain it afterward. The scope runs five to six weeks from the point documents are made available to us.
The proof
We measure this differently from most software projects: not by uptime or feature count, but by whether an answer can be traced back to a real document in your files. Progress during the build is tracked against the sample documents reviewed at the start, and the finished system is checked against the same questions before handover.
